Responsibilities:

  • Invoice Processing: Review, verify, and enter invoices into the accounting system. Ensure accuracy in coding and match invoices with purchase orders and receiving documents.
  • Payment Processing: Prepare and process payment runs, including checks, ACH transfers, and wire payments. Ensure timely and accurate payment to vendors and suppliers.
  • Expense Reconciliation: Reconcile vendor statements and resolve discrepancies or issues. Maintain accurate records of payments and outstanding invoices.
  • Documentation Management: Organize and maintain accounts payable files, including invoices, payment records, and correspondence. Ensure documentation complies with company policies and audit requirements.
  • Vendor Communication: Address vendor inquiries, resolve payment issues, and build and maintain positive relationships with vendors.
  • Financial Reporting: Assist with monthly, quarterly, and annual financial reporting, including accounts payable aging reports and accruals.
  • Compliance: Ensure compliance with internal controls, accounting policies, and procedures. Assist with internal and external audits as needed.
  • System Maintenance: Update and maintain vendor information in the accounting system. Assist with system upgrades or changes as required.
  • Other Duties: Perform other accounting and administrative duties as assigned by the Accounts Payable Supervisor or Finance Manager.

Qualifications:

  • Education: 4- year degree preferred
  • Experience: 2-5 years of experience in accounts payable or related accounting roles preferred. Experience with accounting software and financial systems is a plus.

Skills:

  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle) preferred.
  • Excellent organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Ability to handle sensitive and confidential information with discretion.
  • Problem-solving skills and the ability to work independently.
